Frame Inventory Data Sources

When setting up your frame inventory, there are a number of different ways in which you can incorporate your frame information into My Vision Express (MVE). You may use more than one method to setup and maintain your frame inventory.


TRANSFERRING FRAME INVENTORY DATA FROM ANOTHER PRACTICE MANAGEMENT SOFTWARE SYSTEM

Frame Inventory Migration
If you are using another practice management software program for inventory management, the MVE Data Migration Department can import the data from your existing inventory database into MVE during the implementation phase.  When opting to migrate existing frame inventory, we recommend doing so prior to using any of the alternative frame inventory sources. To take advantage of this time-saving service, please contact your MVE Sales Consultant. The fee for frame inventory migration ranges from $400 to $600, depending on software specifications and size of inventory.

 


Frame Inventory Export to CSV File
If your current practice management software allows you to export your current frame inventory as a .xls or .csv file, you may use this file to import frame inventory data into MVE. Reference your current practice management software manual or contact their technical support department for instructions on how to export inventory files. Once the frame inventory file has been exported, follow the procedure below to import the file into MVE. See How to Convert a Microsoft Excel File into CSV Format for more information.

 

  1. Ensure file is in .csv format. See How to Convert Microsoft Excel Files into CSV Format for directions if needed.
  2. In MVE, go to FILE > INVENTORY > FRAMES
  3. Click IMPORT. A window will pop up with the required specifications for the CSV file. Click OK.
  4. Then, the ‘Select Frame Import File’ window will appear. Select the desired CSV file and click OPEN. The frames will then upload into the frame inventory.

Frames Data® SPEX UPC CD
SPEX UPC is an annual subscription service from Frames Data® to that can be used to create and maintain your frame inventory. A CD-ROM is mailed to you on a monthly basis to keep your frame inventory up-to-date. Click here to visit their website for pricing.

FRAME INVENTORY DATA FROM FRAME MANUFACTURER

Uploading Frame Data Files from Frame Manufacturers
Most frame manufacturers will provide their current frame data information in a Microsoft Excel file that can be converted into a Comma Delimited (CSV) file format. You can then import the file directly into your MVE Frame Inventory.
  1. Contact frame manufacturer for instructions on how to obtain frame inventory data file. (Some manufacturers may have the files available for download directly on their business-to-business websites, others may send the file to you via email upon request).
  2. Ensure files are in .csv format. See How to Convert Microsoft Excel Files into CSV Format for directions if needed.
  3. In MVE, go to FILE > INVENTORY > FRAMES
  4. Click IMPORT. A window will pop up with the required specifications for the CSV file. Click OK.
  5. Then, the ‘Select Frame Import File’ window will appear. Select the desired CSV file and click OPEN. The frames will then upload into the frame inventory.

 


Manual Input

Manual input of frame information into your MVE Frame Inventory when can be used when receiving a frame from a manufacturer with an invoice or for frames that are not found in SPEX UPC or in an inventory data file from a frame manufacturer.
  1. Go to FILE > INVENTORY > FRAMES
  2. Click the ADD button. A new window will appear ‘Add/Modify Frame Inventory’
  3. Enter the frame’s information, cost, retail price, and UPC. The required fields to setup a frame are Manufacturer and Frame Name. Indicate the commission applied to the frame, if applicable. Add notes as needed. NOTE: If you are entering the frame information from an invoice, the UPC may be found on the invoice or on the label on the frame bag or case. If the frame’s UPC is not found in either place, you may contact the manufacturer for the UPC. MVE will automatically assign a UPC to the frame if the UPC field is left blank.
    1. When entering a UPC provided by a manufacturer manually, change the UPC Type to ‘UPC’ in the drop down box. This will ensure that when you save the frame information, MVE will retain the UPC that manually entered. (If the UPC Type is set to ‘System’, MVE will remove the manually entered UPC and replace it with a UPC that is automatically generated by the software).
When entering a UPC manually that is User Defined, change the UPC Type to ‘User Defined’ in the drop down box. This will ensure that when you save the frame information, MVE will retain the UPC that was manually entered. NOTE: It is highly recommended to use a UPC generator when creating User Defined UPC codes to ensure barcode scanner compatibility.
